From Paper Logs to Real-Time Insights: How Smartsheet Modernized Miller & Long

For over 70 years, Miller & Long built its reputation by delivering reliable structural concrete work. Yet behind the scenes, their internal processes told a different story. Project data was manually recorded on paper, collected through printed checklists, and entered into disconnected systems that left teams struggling with accuracy, delays, and lost visibility.


Timekeepers at construction sites documented daily material usage, labor hours, and job updates using preprinted forms. These sheets often ended up wrinkled, rain-soaked, or misread. Staff at headquarters then spent hours deciphering the data, inputting it manually, and trying to reconcile inconsistencies. Physical delivery tickets from suppliers added yet another layer of inefficiency. This system created significant delays in decision-making and introduced costly errors.


Recognizing the urgency for modernization, Miller & Long’s leadership turned to Smartsheet. The platform allowed the company to digitize critical workflows and reduce its reliance on outdated, paper-based systems. Timekeepers were now able to capture delivery tickets by simply taking a photo on their phone and uploading it directly into Smartsheet. As Director of IT Raylene Dufresne noted, this enabled headquarters to receive the original documentation faster than waiting for a paper copy to arrive in person.


Smartsheet’s Data Uploader tool further streamlined operations by automating the consolidation of data from various systems. Instead of patching together spreadsheets from different sources, the company could now rely on centralized and real-time updates. With built-in formulas and reporting features, tracking expenses and monitoring field performance became far more efficient and secure.


The results were clear. Miller & Long saw major improvements in how it managed time, data accuracy, and process oversight. The team reduced hours spent on manual entry, eliminated reliance on paper, and gained a more reliable method for reviewing project status and costs.


According to Dufresne, “Accounts Payable has always required physical delivery tickets. But now, the timekeepers just take a picture, and the information is instantly available. It is phenomenal.”
