Unlocking Smartsheet + n8n: A New Approach to Automation

Over the past few months, we’ve been working on ways to extend the capabilities of Smartsheet using n8n. Along the way, we also looked at how Smartsheet Resource Management can fit into automated workflows.
The result is a set of integrations that show how Smartsheet (& Resource Management) and n8n can work together.
What is n8n?
For those who are new to it, n8n (pronounced “n-eight-n”) is a low-code open-source workflow automation platform. It’s similar in spirit to tools like Zapier, but offers far more flexibility. With n8n, it’s possible to connect almost any application with an API, design workflows, and introduce logic to handle complex business needs — without the overhead of building everything from scratch.
This makes it a useful complement to Smartsheet and Resource Management.
Why Connect Smartsheet with n8n?
Smartsheet is widely used for project tracking, planning, and collaboration. At the same time, many organizations need their Smartsheet data to stay aligned with other systems. This often means:
Keeping information synchronized across multiple tools.
Reducing manual updates and repetitive data entry.
Building workflows that are more customized than what Smartsheet alone provides.
Integrate different data sources and systems to provide unique and consistent information.
n8n enables these types of integrations. It makes it possible to move data in and out of Smartsheet automatically, trigger workflows when sheets change, and connect Smartsheet with systems it doesn’t natively support. The same goes for Resource Management where seamless integrations can be built using n8n for data integration, project planning and execution.
What We Built
We have been experimenting with two directions:
Smartsheet + n8n Integration
Syncing multiple Smartsheets together to achieve a particular objective.
Syncing Smartsheet data with external systems.
Triggering workflows in n8n when rows are added, updated, or approved.
Connecting Smartsheet with CRMs, ERPs, or custom business applications without needing additional middleware.
Smartsheet Resource Management + n8n Integration
Using the Resource Management API within n8n workflows.
Automating resourcing, availability, and utilization reporting.
Linking Resource Management data with HR systems, finance tools, or dashboards.
Migration from other project management and controlling tools to Resource Management.
Why This Matters
Smartsheet on its own is strong, but certain tasks — especially around resourcing and cross-system alignment — still require manual effort. By using n8n, we can:
Reduce duplicate data entry.
Keep systems updated in real time.
Combine Smartsheet data with other sources for deeper analysis.
Extend Smartsheet’s usefulness beyond its native interface.
Integration with other commercial systems in use inside the firms.
n8n is quite flexible and allows to build integrations and workflows that can be highly tailored to specific problems faced by organizations.
Looking Ahead
These initial integrations are just a starting point. There is potential for:
Automating staffing recommendations.
Designing approval workflows that go beyond Smartsheet’s built-in options.
Building more fully integrated ecosystems around Smartsheet.
The main takeaway is that combining Smartsheet with n8n opens up new possibilities for automation and connectivity.
